RUNNERS’ CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
Clifton Recreation Center, Cincinnati OH
January 4, 2011

Present: Todd Hofacre, Gina Meyers, Terry Elliott

Meeting came to order at 7:05 PM.

Meeting Minutes: Approved from November 4, 2010 and December 7, 2011

Financial Report: Todd reported a club balance of $7,700.00, with two outstanding checks. End of year club balance is projected to be around $6,000.00. Ryan and Todd met to go over the 2011 budget, and few changes were made. The board approved the budget, and Todd or Ryan will present the report at the annual members meeting in April. Net loss for 2011 is projected to be approximately $2,125.00. Todd reviewed club expenses for November and December, which was approved by the board. The club’s largest expenses were the Holiday in Lights Run at a cost of about $513.00, and RRCA annual dues at $897.00.

Membership: At the end of 2010, the club had 205 members from 156 households.

Newsletter: Melisse May from GOTR will be the featured runner in the club’s winter newsletter. Todd would like to have these printed and sent out to members the first week of February, and ready in time for the Valentine’s Day Race. Any additional articles are due by January 10th.

Website: Todd will need to renew the club’s current domain names by the end of February. Several members reported having trouble paying with PayPal on the club’s website. Todd will look into getting this corrected. The club’s Facebook group currently has about 450 members.

2011 Goals: The board reviewed club goals for the year, including having a cheaper, low-key 1mile “happy hour” run held quarterly throughout the year. It might be possible to host the runs at Turfway Park in Florence, KY. Terry suggested weekly or monthly 5k races for both members and nonmembers, as a way to introduce them to the club. A small prize could be given to the winner each week.

Social: The club may have at least one person who is willing to head up this committee. Todd will follow up with this.

Holiday in Lights Run – recap: The run went well, and about 30-40 people participated. The after-party was very nice and everyone seemed to have a good time.

Hood-To-Coast Movie – January 11: Nothing new to report.

Races:

Winter Wonderland Race & 2011 Races: For the club’s 35th year anniversary, Todd mentioned bringing back the Winter Wonderland Run to be held in January. The Club was unable to get timely permission from the park board for the club to use the trail for this race, so the club will not move forward with planning at this time. Another possibility is to have an RCGC Anniversary Race in the fall.

Valentine’s Day Race – February 13: We are hoping to have about 300 runners. Currently, 12 people have signed up. We still need to design and order the shirts, and procure race numbers and additional door prizes. More volunteers are needed to help out with packet pick-up in Newport on Saturday, February 12th and on race day, and to possibly help with timing at the finish line. There will not be a bag stuffing this year. Fliers are at most local running stores, and Gina and Terry will pass out additional fliers at local businesses and gyms in NKY. Todd will check with VitaminWater about making a donation, and may also add RoadID as a sponsor. Todd will be meeting with Steve Kruse at the end of January to go over everything and finalize plans.

Heart Mini-Marathon – March 20: Todd needs to reserve two rooms at the Westin Hotel downtown for the Club’s Heart Mini-Suite. The club still needs two volunteers for the waterstop.

Flying Pig Marathon – May 1: The club was approved for the Mile 22 waterstop again this year, and will be a partner charity. Todd will look into getting the coupon code for discounted registration.

Weight Watchers Walk-It 5k – May 22: Todd submitted an application to RRCA, and the club was approved to host the event again this year. Todd will need to review the contract, which is due at the end of January. This event may be held at Winton Woods this year.

Memorial Day Race – May 22: To be held at Armleder Park at 9 AM. As this is the 35th race year, the club may design a poster. More to follow.

Race Committees: The club still needs a committee for the Memorial Day Race, and may look into getting the Pig to help out post-race. A committee is needed for the anniversary race in the fall, if the club decides to move forward with planning this event.

Group Runs: Nothing new to report.

RRCA: 2011 dues were paid to RRCA. The RRCA Convention will be held May 16th in Virginia. The club may send one member to represent the club. Julie Isphording, from Cincinnati, will be the keynote speaker at the seminar.

Programs/Seminars: Nothing new to report.

Merchandising: The club store is currently online with old club shirts and race t-shirts for sale, as well as club caps. Todd is looking into getting a discounted price from the Flying Pig for long sleeve dryfit t-shirts. About 40 shirts will need to be ordered for 2011.

Miscellaneous: Annual Meeting to be held in April. The club will need to find a few new board members. More to follow on this.

Next Board Meeting: To be held February 1, 2011 at 7:00 PM at Clifton Rec. Center.
