RUNNERS' CLUB OF GREATER CINCINNATI BOARD MEETING MINUTES
April 10, 2005
(at Bob Roncker's Running Spot)

Members Present: Tom Glasscock, Todd Hofacre, Jeff Hummel, Ed Hunter, Nick Kleiner, Mike Moyer, Doug Rudisell, Peter Wayte

Membership: Dues are now past due. Todd will send email reminders in the next two weeks to members who have not yet paid. Postcards will be sent in May to members who have not renewed by then. Todd will send out a welcome letter, calendar, and a 2005 membership card to new members who have sent in their initial dues. He also will send 2005 membership cards to renewing members.

Newsletter: It is hoped that we will have copies of the next newsletter available to distribute at the Flying Pig Expo April 29 and 30. Three options for reducing printing costs were discussed: (1) Mike will ask Jody if her husband (who is in the printing business) could have our newsletter printed for about $200 or less per issue; (2) Mike will obtain an estimate from the printer who prints Bob Roncker's newsletter; or (3) we will consider emailing the newsletter to most members (we believe that around 90% or more of members have email) and posting it on the Club's website. A relatively small number of newsletters would be printed and mailed to members who do not have email. If we decide to pursue the latter option, Todd will poll the members on whether they would prefer to receive the newsletter by email, considering that the Club is trying to reduce expenses and keep dues low.

Social Events:

Next Club Happy Hour: Wednesday, April 20, 2005, 6:30 p.m., at Crossroads Sports Bar in White Oak on the West Side (corner of Cheviot Road and Jessup Road). Unfortunately, Nick will be out of town that day, but he recommended that the date not be changed. The Board agreed with his suggestion.

End of Summer Picnic: The Board agreed that we should try to reserve a shelter at Swaim Park in Montgomery, the site of last year's picnic, for Sunday, August 28, 2005. Swaim Park is located on Cooper Road west of Montgomery Road. Mike will ask Jody to reserve a shelter for us, as she did last year. Basically, we will have the same arrangements as last year: Board meeting at 1 p.m., preceding the picnic which would start at 3 p.m., 2.5 mile prediction run at 3:30 p.m., dinner at around 4:30-5:30 p.m., followed by games. Members whose last names begin with A-K will bring desserts; those whose last names begin with L-Z will bring sides or salads (reversed from last year). The Club will provide hamburgers, hot dogs and beverages. Jeff agreed to cook the hamburgers and hot dogs. Mike will ask Kate and Carl to set up some games for after dinner.

Upcoming Races:

(1) Flying Pig Marathon Water Stop (Mile 22, Sunday, May 1, 7:00 a.m. to noon) Todd agreed to pick up key items on Saturday, April 30: large water and Gatorade jugs, paper cups, t-shirts for volunteers (20 extra large, 20 large, 20 medium), and cardboard for stacking layers of cups. Pick up is between 2:00-6:00 p.m. under the Purple People Bridge near the Gregory Center at the intersection of Pete Rose Way and Butler Street. Peter will bring plastic gloves and pitchers for filling the cups. Several Club members will need to bring rakes (to collect used cups) and garbage bags. The Board agreed that the volunteers should be careful not to spill Gatorade on the deck of the house just behind the water stop (the owner is letting us use his outside hose faucets to obtain water for mixing Gatorade and for filling the large water jug). Water stop volunteers will be careful to pick up ALL discarded goo packs, paper cups, and other debris in the vicinity of the water stop. After the marathon (at approximately noon), marathon volunteers with a truck will pick up the tables. Mike or Nick will return the large jugs (rinsed out) that held water or Gatorade and unused paper cups to City Dash at 949 Laidlaw Avenue (off I-75 north of downtown). The Club water stop will have a "Goofy" theme. Volunteers should look goofy, e.g., wear a goofy hat, wig, t-shirt, etc. Jody said she would ask Cathy to arrange for food for the volunteers. Nick agreed to set up the tent and provide music.

(2) Flying Pig Expo Booth (Friday, April 29 and Saturday, April 30) Memorial Day race flyers will be made available at the booth. Volunteers will be needed to man the booth and keep in looking neat. The Club will allow other groups to place their flyers at our booth.

(3) Memorial Day Race (5 miles, Monday, May 30, 9 a.m.) Mike Moyer will be out of town at the time of the race. Mike Smith has agreed to help Nick in coordinating the race. Kate and Carl have agreed to help with the food. Tom and Julia will bring along the chips and pretzels left over after the Heart Mini-marathon. Tom will bring and set up the finishing chutes. Jeff has agreed to order t-shirts. Nick will order awards (pint glasses). Ed will assist Nick with registration and will take digital photos. We will set aside t-shirts for pre-registered runners (we should have done this last year but did not).

Other Business:

(1) Heart Mini-marathon Hospitality Suite: The Board greatly appreciated the efforts of Tom and Julia in reserving three rooms at the Westin as Club hospitality rooms for the Heart Mini-marathon on April 3, 2005. These rooms served us very well after we were told initially that no rooms were available due to Opening Day on April 4. Also, special thanks to Tom and Julia for purchasing and setting out the food, which was excellent and ample in quantity.

In order to obtain more space next year (Heart Mini-marathon 29 is scheduled for March 26, 2006), the Board suggested that we try to reserve a suite as early as possible. We understand that we cannot reserve a suite until about 6 months in advance. Thus, we should try to make a reservation in late September 2005 for the March 26 event.

(2) Mike expects to be back in town in early August 2005.

Next Board Meeting: Sunday, April 24, 1:00 p.m., at Bob Roncker's Running Spot. This meeting will be to verify that all arrangements are in order for our Flying Pig water stop.
